Updating Salesforce from blank forms
When a contact fills in a blank form, their details will be updated or created in Salesforce following the process below:
- When the contact details submitted in the blank form are new, they will be created as a new contact in Salesforce
- When the contact is existing but details such as company change, the company details will be changed in Salesforce for the existing contact, and they will be “disconnected” from their previous company (this could potentially cause an unwelcome duplicate record)
- When an unrecognised company is entered in a blank form, then this company record will be created in Salesforce. (If a contact from Acme Ltd enters his or her company as just Acme, for example.)
Contact matching will follow this logic
- Compare last name and email address - they should be exact matches (but the matching is not case sensitive)
- There must be exactly 1 contact returned for there to be a match
- If there are no matches or more than one match then they will be created as a new contact in Salesforce.
Do not match "Company" Field on a Form to Salesforce records
Under certain circumstances, you might not want to write back to the "Company" field from a Vuture form to Salesforce, for existing contacts. By enabling a specific setting, Vuture will match only the Name and Email fields on the form with Salesforce.
To use this functionality, please contact your Customer Success Manager and request they enable "Admin.Systems.CrmManager.Crm System Config.System Configs.DoNotReplaceCompanyField".
Once enabled, it means that:

When a blank form is submitted and the contact is matched through Name and Email with Salesforce, then the company field will be ignored

When a blank form is submitted and the contact is not matched through Name and Email with Salesforce (is a new contact), then the company record on the Vuture form will be assigned to that contact when they are created in the CRM

When an existing contact submits a pre-filled form, the company field from the form will be ignored, even if the company record submitted in the form is different to the company recorded in Salesforce

When a form (blank or pre-fill) is submitted and the company field is left blank, then the company field in Salesforce will be unaffected and remain as it was originally.
