Events App Offline Mode allows you to use the Events App to register attendees for your event or add walk-ins even if there is no WiFi connection or if the connection is coming and going.

Prerequisites

Your Vuture Representative can make the feature available using the system setting "Admin.System.EventsDisplay Offline Option on Event Configuration."

Once enabled, when you are setting up an event you can enable offline capability, for that event only, by checking the tick box on the event configuration screen called Enable Offline Mode.

Once enabled the Event App will continue to operate when there is no internet connection, storing all updates locally.

Once the WiFi connection is restored, all updates will be written back to Vuture and your CRM.

Important Note: You must ensure that you access the Event App at least once, while connected to the internet, from the device that will be going offline, in order to sync the attendee data. If you are unsure of the WiFi connectivity at an event venue, you could login to the Event App once, prior to arriving at the event location.

While the device is offline you will see an offline icon at the top of the screen to indicate the app is in offline mode.

You can mark contacts as Attended and you can Register Walk-ins while offline. You will see a count at the top of the screen to show the number of queued updates waiting to be written back.

The Arrival Notification emails will not work whilst offline. Arrival Notification emails will be queued and sent as soon as the device is online. If you know that you will be offline for the duration of the event we recommend not enabling Arrival Notifications.

Ending your Event when Offline

To end your event in the Event App you must go online first and sync back all the data. Until that has happened you will not be able to click the End Event button.

Important Notes when Offline

Offline Mode will not work with Private browsing so please check this in your browser before using.

The More Info option will also not work whilst offline.

You are not able to print Events App Badges in off-line mode. If in doubt, print badges before the event.

Once you have gone offline do not refresh or reload the page (e.g. by using the reload button in the browser or by closing the app and re-opening it) as the attendee data will not reload and you will not be able to make any more updates until you go online again. Offline, you can continue registering new attendees and they will write back when you go online again AS LONG AS YOU DO NOT REFRESH THE BROWSER WHILE OFFLINE.

Syncing guest status with your CRM

To prevent loss of information, when using the Events App, you will not be able to close the event until the system has synced your event details back to the CRM.

FAQs

Q How is the Event App secured in Offline mode? (where exactly/ how exactly is the data stored locally?)

A. Offline mode uses local storage on the device. The offline events are stored on the device's local storage and they will send back the details when they come back online.

Q. If several people are checking in attendees, and they have to go to offline mode- let's say one person marks someone as attended and someone else un-marks them as attended. When the event ends- how does Vuture decide which will write back to the CRM? Would it just be whichever one happened last?

A. Data is written back per device in order when the devices come back online. The devices are not aware of each other so, although each one will write back in date order, the scenario you have described might not have a predictable result. It would depend on which device comes online last. Our advice would be, if using offline mode, try to avoid checking somebody in on one device and unchecking them in another.

Q. What happens if one receptionist's iPad goes offline but the other two stay online. How would that affect the writeback to CRM?

A. The online devices would writeback in real time. The offline one would writeback when it comes back online. If any of those changes were to the same contact as another device the offline one would overwrite when it comes online.
