Vuture automatically processes bounced (undelivered) emails on a scheduled basis. We record this against the contact in Salesforce and write a Vx Activity for each bounced email sent.
1. Scheduled automatic processing
We process bounces automatically every hour. We can change this if you wish. We can extract the email log files and incoming bounces which are delivered to your central bounceback mailbox if you need them.
2. Bounce analysis
Once you have sent out your email we receive the bounce messages. We analyse these against our database and classify the bounce. You can read more about this here.
3. Record bounce activity against contact in Salesforce
If a contact hard bounces we will write an activity back to Salesforce against the contact. After 2 emails have been sent, Vuture will update the Vuture Bounced Email and Vuture Bounced Email Reason which will suppress future sends from Vuture.
- Vuture's Project Team will automatically create the two bounceback fields for the Contact object when first setting up the integration between Vuture and Salesforce.
- Each time a bounce is processed, an activity will be added against the contact with this activity type. This is for each email send from Vuture.
- The activity will include the name of the email campaign that was sent and a short description of the bounce problem. The full bounce headers are available for download from Vuture. The activity format is Bounceback: Address = abc@gmail.com, Reason: Hard bounce - General Other or undefined protocol status
4. Managing and Updating Email Addresses in Salesforce
When a contact hard bounces two times in a row or soft bounces five times, Vuture will suppress that contact from future sends for as long as the Vuture Bounce field is checked on the Contact in Salesforce.
Please note: Soft bounce activities will not be recorded in Salesforce. Only Hard bounce activities will be recorded.
We do not recommend changing this threshold but you can ask your Account Manager to change any of the settings in the admin area to a lower value than what is currently set.
- "Admin.System.Bouncebacks.Number of Hard Bounces" = 2
- "Admin.System.Bouncebacks.Add To Bounce List After Consecutive Bounces" = True
- "Admin.System.Bouncebacks.Convert Soft To Hard After" = 5
By using Salesforce reports and workflow rules, you can simplify the process of identifying, updating and re-sending to these emails.
- Create a report on Contacts, include the email field and filter for Vuture Bounced Email = True
- This can be shared with others to request their assistance in updating the email addresses.
After updating the email addresses you can write a workflow rule to re-enable sending from Vuture like this:
- Create a workflow rule on the Contact object with the following criteria:
-
Rule Name: Clear Vuture Bounceback
-
Rule Description: After Email is changed, clear any Vuture Bounceback values to re-enable email sends from Vuture
-
Rule Criteria: ISCHANGED(Email)
- Add these two Workflow actions:
-
Action Name: Clear Vuture Bounce Checkbox value
- Field Update: Vuture Bounced Email
- New field Value: False
2. Action Name: Clear Vuture Bounce Reason Value
1. Field Update: Vuture Bounced Email Reason
2. New field Value: Blank
