What is the best method to scan QR Codes with Vuture's Event Check-in Module?

 

  • All event module users should us the same QR Scanner App for scanning in QR Codes to help reduce possibilities for error on the day of the event. This should be the only method of scanning in QR Codes with Vuture's Event Check-in Module. Physical scanner guns are not recommended.
  • After testing several methods of scanning, we recommend using the Tap Media QR Scanner App when using QR Codes with Vuture's Event Check-in Module. We have tested this App and believe it is the most efficient, with less room for error, if you follow our best practice guidelines in this article.

How do I setup the Tap Media QR Scanner App on my iPhone?

 

  • Now that you've downloaded, the Tap Media QR Scanner App to you iPhone, you should see the following icon on the Home Screen of your iPhone.

  • Tap to open the Tap Media QR Scanner App. If this is the first time opening the App, you will see some instructions. Continue to read through and click "Next", then click "Done". You will then see the screen below asking permission to use the Camera on your iPhone. Please click "OK".

  • IMPORTANT: Make sure your ringer is turned on for your iPhone and not set to silent. This is required to hear the "beep" when scanning QR Codes.
  • You are now ready to start scanning!

 

How do I use the Tap Media QR Scanner App on my iPhone to check guests in as they arrive?

 

  • Reminder: Make sure your ringer is turned on for your iPhone and set to full volume. Your iPhone should not be set to silent. This is required to hear the "beep" when scanning QR Codes.
  • Make sure you are in the "Camera Mode" of the Tap Media QR Scanner App (click on Camera icon in the bottom bar, if you are not).
  • Hover your iPhone camera over the QR Code on the badge until you hear a beep.
  • Once you hear the beep, you'll be taken to the URL of the guest you just checked in to the Event (see screenshot below for an example). The guest will then be marked as attended in the Event Check-in Module.
  • Click the "X" in the top left corner to get back to the Camera and repeat these steps to scan in the next guest.
  • IMPORTANT: If you see the URL for the guest you just scanned the QR Code for, you'll know that this guest was checked in correctly. If you do not see the URL, the guest was not checked in and will not write back to the CRM or Vuture List. Please scan the QR Code again until you see the URL (See screenshot below for example of URL).

  • Best Practice Tip: We recommend having a Tablet or Laptop with Vuture's Event Check-in Module open in a browser. That way, as you scan, you will see green notifications appearing on the screen for the guest you just scanned the QR Code for, confirming this was done correctly. Please see the screenshot below as an example).

 

 

How do I see a history of my scans in the Tap Media QR Scanner App?

 

  • While in Camera mode, click on the little caret in the top right corner to get to your scans (see screenshot below). This will show you your scan history.

  • If you wish to see the time stamp of the scan, swipe right on the scan in question. You will then see an "i" icon for more information. Click this icon to see the time stamp of this scan.

  • How do I create a badge with a QR code?

    • The QR code is added through an update in your events template. Please contact your Account Manager to arrange this (Available for Standalone and all CRMs).

  • What is the HTML code for the QR code on a badge page?

  • Can I use the scanner in my iPhone's camera to scan the event badges?

    • Yes, the iOS inbuilt QR scanner will work. However, when you scan it will prompt you to open Safari. It won’t mark the contact as attended until you open Safari, as this is the point at which it sends back the information to the Events Check-in module.

  • Can I use a hands free QR scanning machine to scan the event badges?

    • Yes, you can use a hands free QR scanner to scan your badges. However, all QR scanners work differently, so you will need to test thoroughly before the day or your event. Scanners require specific settings so that they submit the information they read in the code when it is scanned (i.e. they require a ‘submit’ function when they read the website on the code). An example of this might be setting them to an “Add CR Suffix” setting. Depending on the scanner a browser may need to be open, ready to receive the information and there could be some manual work involved to get it to open a new page/tab after the first submission.
