It is now possible to set up a series of Activity Types to write back to DealCloud. These Activities will record when a contact opens an email, for example. This will make it possible to measure the engagement of your contacts and report on how they are reacting to the marketing you send.
Which Activities are Available to Write Back?
Email Sent Including the Date the email was sent
Email Opened Including the Date the email was opened
Email Bounced
Link Clicked
RSVP
Where will the Activities write back to in DealCloud?
The full activity description will be seen in Marketing Activities.
In Email Subscriber - Email Opened and Email Sent only can be recorded, but only if they are first configured in the metadata tool, under the Custom Field Types. Speak to your Project Manager or Account Manager about this.
What information is returned in the Activities?
For the RSVP activity the description in the "Marketing Activity" column, which has the timestamp and the summary of the activity will say "Event Attending" or "Event Not Attending". It will have a colon and the name of the form.
Link Clicked and Email Opened will have only the time stamp and the subject line of the email.
Email Sent and Bounced activities will have the time stamp, "Email Sent" colon and the subject line of the email OR "Bounced",colon and the subject line of the email.
For example: 12/12/2019 - Email Sent: Summer Golf Event OR 12/11/2019 - Bounced: Summer Golf Event
What are the prerequisites?
- Your Project Manager or Account Manager should ensure in Admin.System.Versions that Email Opened and Click Activity v2 is selected.
- They will set up the new fields for you in the CRM Metadata tool
- If you want the fields to also write back to Email Subscriber these need to be configured under the Custom Fields tab. As do the Activity Types themselves.
- RSVP needs to be mapped under the System Config tab
- All Activities then need to be added under the Activity Configs tab. Your PM or AM will do all this for you.
Can we Combine Links Clicked into the Email Opened Activity?
There is a setting in your instance, in the Metadata Manager, which is called Combine Links Clicked into One Activity. If this is ticked for you, it will combine the Links Clicked activity with the Email Opened activity when written back to the CRM.
If this is not ticked it will write each activity back separately (Email Opened and Link Clicked) and there will be a new activity for each link clicked.
What if we Change Our Minds after Running for a While not Combined?
If Activities are not combined , when an email is sent and links are clicked the activities will be separate. If, after that, the config for combining activities is enabled, the next time the contact clicks a link it will be added to the email opened activity AS WELL as all links clicked before the config was enabled.
Note that any link clicked activities generated before the combine config was enabled will not be deleted.
Will RSVP Activities get Overwritten if Contacts Change their Mind about Attending?
No. Each time that the user changes their RSVP response a new activity will be recorded. Old activities will never be updated. In addition, if the contact resubmits the form without updating the RSVP, the RSVP activity will be created again.
