Overview
This article covers how to add new contacts into your Alumni Site and approve them to send a welcome email to complete the registration process.
How to Import New Contacts
To add new contacts to your Alumni site, you will need to add them to the Alumni folder in InterAction and mark them as "PreApproved" in the "Status" Additional Field, as well as, mark them as "True" or "False" in the "Web Portal Profile Participant” Additional Field. Marking the "Web Portal Profile Participant" as true, means they will have a profile in the Directory (e.g. Alumni). Marking the "Web Portal Profile Participant" as false, means they will not have a profile in the directory (e.g. Admin users).Once these contacts are added into the Alumni Folder in InterAction, you'll need to log-in to the back end of the Alumni Site, navigate to "Options" at the top left panel, and click on "Manage User".
Click on the "Import Users" tab and select the InterAction folder you are importing. Set the User Approval Status to "PreApproved".Click on "Check Total Users To Be Imported" to verify the numbers look correct then click "Import Users" to load the contacts.

This will import any users who are not already in the Alumni Site, mark them as "PreApproved", and create an account for them.
Please note: They will not be able to access the Alumni Site until you mark them as "Approved" and they click through from the welcome email to complete the registration process.
How to Approve Users and Send them a Welcome Email
To approve users and send them a welcome email to complete registration (e.g. create password, edit profile, etc.), navigate to "Options" > "Manage User" then click on the "Manage Users" tab. From here, you can either individually approve the user by changing their status to approved and click "update" or click "Approve All". (Please see screenshot below).
This will email the approved users an invitation to the Alumni Site. They can then click through to access the site and complete their registration.
