Introduction
As a Standalone user you can use the Campaign Type and Activity Template screen to create templates that allow you to suppress a mailing on specific lists. Here are some possible examples:
- Upload Lists A and B to the lists area – you plan to send a mailing. Send that mailing to “everyone on List A unless they are also on List B”. Or,
- Exclude a list of alumni from your client mailing, or exclude a list of press and journalists.
- Send a mailing to a VIP list of special clients, but not if they are on another list already.
Please note: you can only exclude people in this way if the list they are on has been designated as Global. Also, Vx will always automatically honour the global unsubscribe which exists when any recipient has checked that option in a global unsubscribe form, in addition to any list you choose to suppress.
Requirements
To access the Campaign Type and Activity Templates screen, please ask your Account Manager to enable the following for all roles in your Vx instance:
- "Admin.Roles.CampaignType & ActivityTemplates” and
- "Admin.Roles.EmailTypesForStandalone".
Note: In order to separate the ability to access Campaign Types from using the Email Type drop down at the point of send, we have created a new config in Roles:
New config in Roles:
"Admin.Roles.Admin.Display Campaign Types in the Email Types dropdown on the Send Screen"
to control visibility of the email type dropdown on the send screen.
Previously controlled by:
"Admin.Roles.Admin.Campaign Types And Activity Templates screen.
Note: You will also need Email Types for Standalone- enabled in the Role, for clients to see the Email Types drop down at the point of send.
This was done to separate the ability to access Campaign Types from using the Email Type drop down at the point of send.
How do Campaign Types work?
Create a new Email Type. That Email Type has inbuilt instruction to suppress certain lists you specify. When, at the point of Send, you select the email type from the drop-down list of types, Vuture will suppress your mailing on the specified list and send the email to everyone else.
To create an Email Type:
Step 1. From "Admin.CampaignTypes & Activity Templates" select your CRM source:
Step 2. To edit an existing template simply select it from the list. To create a new template, click on “+ New” and choose from the available Email types.
Email Types
- Select a category for your template, e.g. Invitation, Publication, E-Card etc.
- New Campaign Type: enter the name for your new template (e.g. UK newsletters)
- Other Campaign Types
Step 3. Within your new or existing Email or Other Campaign templates you can edit and specify:
- Template Name and Category
- Container access: this access defines in which containers this template will be accessible
- Access level: this defines which Roles will be able to select this specific template when sending an email or editing a link
Step 4. Specify suppression lists: when this Email type template is selected for an email send, any contacts that are in the lists chosen as suppressed using this field won’t receive the mailing. In addition, the global suppression list needs to be added for all campaign types.
Please note: Standalone (csv lists) users, only Global lists can be suppressed. Global lists are those which can be seen from any container.
When you are finished with your template click “Save” and it will be ready to use. If you click “reset” this won’t delete any saved changes, but it will take you to Step 1.
You may delete a Campaign Template only if it has not been used in an email send. If it has you will only be allowed to disable it.
Selecting an Email Type Template when you send an email
You will use the Email Type template you have created when you’re ready to send an email. Once in the send email screen select your desired Campaign type template from the “Email Type” dropdown.
There is a Word document attached below which contains the same information as above, with screen shots.
